Why Estimation is Important?

Creating an outstanding design requires more than just time and talent. It needs a clear vision, effective collaboration, and mutual understanding. The design process guides designers from brainstorming to realization, ensuring everyone works together towards impactful goals.

In this article, we outline our methodical approach, where creativity and careful planning guide us from initial research to prototypes. We refine designs step-by-step to meet our clients' needs and resonate with their audience.

Accurate estimation is a critical aspect of project planning that goes beyond merely predicting costs and timelines; it sets the foundation for a successful project from start to finish. Here’s why it’s so important:

Strategic Planning:
Estimation provides a clear roadmap for planning. By forecasting the resources, timeframes, and costs for each phase, we start projects with clear goals. This helps avoid scope creep and ensures smooth execution.
Managing Client Expectations:
Clear estimation helps manage client expectations. By outlining project scopes, timelines, and deliverables upfront, we build trust and credibility. Clients appreciate honesty and clear communication, leading to stronger relationships.
Optimizing Resource Allocation:
Effective estimation allows us to allocate resources—talent, technology, or budget—efficiently. By matching project needs with the right skills, we maximize productivity and minimize waste, enhancing efficiency and profitability.
Proactive Risk Management:
Estimation helps identify and mitigate risks early. By assessing factors like technical challenges or market changes, we can develop contingency plans and adapt strategies. This proactive approach ensures project continuity and addresses unforeseen challenges.
Ensuring Quality Assurance:
Accurate estimation allows adequate time for design iterations, feedback, and quality assurance. This ensures the final product meets or exceeds client expectations. It’s not just about meeting deadlines but also delivering high-quality work consistently.

Our Estimation Process

At VydOK, we understand that the foundation of a successful project begins with clear and detailed estimations. These estimations provide you with a roadmap, outlining the necessary steps, timelines, and resources required to bring your vision to life. To ensure you have all the information you need in an easy-to-use format, we provide our project estimates in an Excel document. However, we are flexible and can use other tools if that better suits your needs.

What’s Inside Our Excel Estimation Document?

Project Pages Links:
In the first column, you'll find links to separate pages in Figma for each project page. For instance, if we’re working on a website, you'll see links for the Home Page, Catalog, Cart, etc. These links allow you to directly visualize the design and layout of each page, making it easier to understand the structure and flow of the project.
Feature Descriptions:
The second column contains detailed descriptions of the features that each page will include. This could encompass everything from the layout and design elements to the functionalities and user interactions. By providing these descriptions, we ensure that you know exactly what to expect on each page and how it will serve your users.
Estimation Columns:
Optimistic (Best Case): This represents the best-case scenario for how long a task will take if everything goes smoothly without any delays or unforeseen issues.

Realistic (Worst Case): This is the most likely time frame, balancing optimism and caution to provide a practical and achievable timeline.
By computing a weighted average of these scenarios, we attain a balanced and realistic time estimate, minimizing the risk of underestimation.
There's also the possibility of using another estimation method: combining the realistic estimate with additional time for unforeseen tasks. This approach starts with the realistic estimate, reflecting the most probable time required under normal circumstances, and adds a buffer to account for unexpected challenges.
This method increases accuracy and flexibility, ensuring that potential risks are considered and mitigated. Clients can have greater confidence in project schedules, knowing there’s a safety net for handling unforeseen issues. This ultimately leads to smoother execution and higher-quality results.
Notes:
In the third column, we include our important thoughts or suggestions. This section is where we share our professional insights, potential improvements, design tips, and any other relevant information that we believe will enhance the project. These notes are meant to provide additional value and ensure we are aligned with your vision and goals.
Client’s Comments:
The fourth column is reserved for your comments. We highly encourage you to add your thoughts, requests, feedback, or any changes you’d like to see. This collaborative approach ensures that the project is tailored to your specific needs and expectations, fostering a productive dialogue between our team and yours.

Flexibility to Suit Your Needs

While Excel is our primary tool due to its simplicity and widespread familiarity, we understand that each client has unique preferences and requirements. Therefore, we are more than willing to adapt to other tools if you prefer. Whether it’s a different spreadsheet software, project management tool, or any other platform, we can accommodate your preferences to make the process as smooth and efficient as possible.

Benefits of Our Approach

Our detailed and flexible approach to project estimation offers several key benefits:

Key Activities:

Transparency: By providing detailed descriptions, notes, and varied estimates, we ensure complete transparency in our planning process.
Collaboration: The dedicated section for your comments fosters a collaborative environment, ensuring your input is valued and incorporated.
Adaptability: Our willingness to use different tools demonstrates our commitment to meeting your specific needs and preferences.
Clarity: The structured format of our Excel document makes it easy to understand and follow, ensuring you have a clear roadmap for the project.
Accuracy: The use of the Three-Point Estimation technique helps us provide balanced and realistic time estimates, reducing the risk of underestimation and ensuring more accurate planning.
